Privacy Policy
Pajor Pty Ltd (ABN 70 702 540 172) is committed to protecting the privacy and personal information of our clients, website visitors and the wider community. This policy explains how we collect, hold, use and disclose personal information in accordance with the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs). It applies to all personal information handled by us, including information collected through pajor.site and in the course of providing our professional services.
1. Personal information we collect
Personal information is information or an opinion about an identified individual, or an individual who is reasonably identifiable. Depending on how you deal with us, we may collect:
- your name and contact details, including your email address;
- your business or organisation name, and your role or position where relevant;
- details of your enquiry, project, service requirements or instructions;
- documents and records you provide to us in the course of an engagement;
- billing, invoicing and payment records associated with our services; and
- technical and usage information when you browse our website.
We do not collect sensitive information (such as health information, or information about racial or ethnic origin, political opinions or religious beliefs) unless it is reasonably necessary for one of our functions or activities, the collection is required or authorised by law, and you have given your consent.
2. How we collect personal information
Where it is reasonable and practicable to do so, we collect personal information directly from you. This may occur when you:
- submit our quote request form or contact form on this website;
- send us an email or otherwise correspond with us;
- engage us to provide professional services; or
- meet with us or speak with us about a prospective or current engagement.
We may also collect information automatically when you visit our website (see Cookies and website analytics below). We generally do not receive personal information from third-party sources. If we do receive personal information about you from someone else, we will handle it in accordance with this policy and, where appropriate, take reasonable steps to notify you.
3. Why we collect and use personal information
We collect, hold and use personal information so that we can:
- respond to your enquiries and provide quotations for our services;
- provide, manage and deliver the professional services you engage us to perform;
- communicate with you about your engagement, including updates and progress reports;
- issue invoices, process payments and maintain accurate accounting and business records;
- comply with our legal and regulatory obligations in Australia, including tax and record-keeping obligations;
- improve our website, services and client experience; and
- send you updates or marketing communications, but only where you have consented, requested them or it is otherwise permitted under the APPs. Every marketing communication we send will include a simple way for you to opt out of future messages.
We will only use or disclose your personal information for the primary purpose for which it was collected, or for a related secondary purpose that you would reasonably expect, unless we have your consent or another exception under the Privacy Act applies.
4. Disclosure of personal information
We respect your personal information and we never sell or rent it. We may disclose personal information to third parties where reasonably necessary for the purposes set out in this policy, including:
- service providers who assist us to operate our business, such as website hosting, cloud storage, email and accounting or invoicing software providers, who process information on our instructions under contractual arrangements;
- professional advisers, including our accountants, auditors and legal advisers;
- government agencies, regulators, courts or tribunals where disclosure is required or authorised by law (for example, the Australian Taxation Office); and
- a prospective purchaser or successor entity in the unlikely event of a restructure, merger or sale of part or all of our business, on confidential terms.
Some of the service providers we use may store or process information on servers located outside Australia. Where that occurs, we take reasonable steps to ensure that the recipient of the information is subject to obligations that are no less protective of your privacy than the Australian Privacy Principles.
6. Security, storage and retention
We take reasonable steps, as required by Australian Privacy Principle 11, to protect the personal information we hold from misuse, interference, loss and unauthorised access, modification or disclosure. These steps include storing information on secure systems, limiting access to personnel and providers who genuinely need it, using passwords and access controls, and securely destroying or de-identifying information when it is no longer required.
We retain personal information only for as long as it is needed for the purposes described in this policy, or as required by Australian law. For example, financial and business records are generally retained for at least seven years in accordance with Australian record-keeping obligations. After that period, we take reasonable steps to destroy the information or ensure it is de-identified.
Unfortunately, no method of transmission over the internet or electronic storage is completely secure. While we strive to protect your personal information, we cannot guarantee its absolute security, and you provide information to us at your own risk.
7. Access and correction
You may request access to the personal information we hold about you, and ask us to correct information that you believe is inaccurate, out of date, incomplete, irrelevant or misleading. To make a request, please email us at ceo@pajor.site with the details of your request.
We will respond to your request within a reasonable period (generally within thirty days). We will not charge you for making a request, although we may charge a reasonable fee for the costs of providing you with copies of the information, and we will tell you if a fee applies before proceeding.
In some circumstances permitted by the Privacy Act, we may refuse to give you access to, or correct, personal information — for example, where giving access would be unlawful, would prejudice an investigation, or would disclose information about another person. If we refuse a request, we will give you written reasons for the refusal and information about how you can complain about the decision.
8. Complaints and enquiries
If you have a question about this policy, or you believe we have breached the Australian Privacy Principles or mishandled your personal information, please let us know. Complaints can be made by email to ceo@pajor.site. Please include enough detail for us to understand and investigate your concern.
We will acknowledge your complaint promptly, investigate it fairly and impartially, and provide you with a written response, generally within thirty days. You will not be treated unfavourably for making a complaint or for exercising your rights under this policy.
If you are not satisfied with our response, or you prefer not to deal with us first, you may contact the Office of the Australian Information Commissioner (OAIC), which is the national regulator for privacy in Australia, via its website at www.oaic.gov.au.
9. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices, our services or Australian law. The current version will always be published on this page, and the "Last updated" date at the top of the policy will be revised whenever we make changes. We encourage you to review this page periodically so that you are aware of how we protect your information.
